Common Pitfalls

Over-triggering: Not using filters causes Zaps to fire on every event, burning through tasks quickly. Always add a filter step as step 2 in every Zap.

Common Pitfalls

Common Pitfalls

No auth on the instance: n8n’s default Docker setup has no authentication. If you expose port 5678 publicly without basic auth or Nginx, anyone can access your workflows and credentials.

Container restart wipes workflows: Without a persistent volume, restarting the container deletes everything. Confirm your volume mapping before you build out workflows.

Webhook URLs break after domain changes: If you change your domain or move to a new server, every webhook URL in external systems needs to be updated. Use a consistent subdomain (e.g., n8n.youragency.com) and don’t change it.


SOP 4: Webhook Integration for Real-Time Alerts

Common Pitfalls

URL expiration: Webhook.site URLs expire. If you used one for testing and accidentally registered it as your production endpoint, your webhooks are going nowhere. Always use your production endpoint after testing.

No idempotency: Platforms sometimes send duplicate webhook events. If your workflow creates a database record on each event, you’ll end up with duplicates. Add a deduplication check using a unique event ID from the payload.


SOP 5: AI Content Pipeline

Purpose: Build a structured pipeline that takes content briefs from your team, passes them through AI generation, applies human review gates, and publishes approved content to the correct channels.

Steps

  1. Define content brief format. Every AI generation request needs a standardized input. Create a template with fields: Content Type, Creator Name, Target Audience Segment, Tone Notes, Key Themes, Word Count, CTA if any. Store briefs in Airtable or a Google Form.

  2. Build the API call to your AI provider. Use an HTTP module or dedicated AI node to send the brief to your AI API. Structure the system prompt once and store it as a reusable variable. Keep the user prompt dynamic based on brief fields.

  3. Configure prompt templates by content type. Different content types need different prompt structures. Don’t use one generic prompt for everything — build separate prompt templates for captions, DM openers, subscription page copy, and long-form content.

  4. Set the first review gate. After generation, the AI output goes into a “Review Pending” status in your content calendar, and a Slack message is sent to the assigned editor with a direct link to the record. The editor approves, requests revision, or rejects — no email threads.

  5. Handle revision requests. If the editor requests a revision, the record status changes to “Revision Requested” and the workflow re-triggers the AI generation with the editor’s feedback appended to the original brief. Limit automated revisions to 2 per piece before escalating to a human writer.

  6. Set the second review gate for compliance. Approved content triggers a compliance check before publishing. This can be a keyword flag scan (see SOP 8) or a manual compliance review step. Either way, content doesn’t publish until it clears this gate.

Common Pitfalls

Single prompt for all content types: A caption and a long-form post need completely different instructions. Generic prompts produce generic output that editors reject constantly.

Steps

  1. Categorize inbound DM types. Before building any automation, map out the types of DMs your accounts receive. Common categories: greeting messages, content requests, pricing questions, complaints, explicit content requests, and messages that don’t fit a pattern. Your automation handles the first three; humans handle the rest.

  2. Build a keyword trigger library. Create a spreadsheet with columns: Keyword/Phrase, DM Category, Response Template ID. A message containing “how much” routes to pricing templates; “hey” or “hi” routes to greeting templates.

  3. Write response templates for each category. Each template needs: a template ID, category, the response text, and a personalization field (at minimum, a first name variable). Store templates in a shared sheet so chatters can update them without touching the automation config.

  4. Configure the matching workflow. When a new DM comes in, the workflow checks the message content against your keyword library. If a match is found, it pulls the correct template, substitutes personalization variables, and either sends the response or queues it for review.

  5. Set response delay logic. Instant automated responses look unnatural. Add a 2-10 minute random delay before sending. Most tools support this natively; if yours doesn’t, use a wait/delay node with a random number in the range.

  7. Set a response rate ceiling. Don’t automate 100% of DMs. Set a rule that any conversation where more than 3 consecutive messages were automated triggers a human review flag. Keep humans in the loop on active conversations.

  8. Log response metrics. Track: automated response rate, escalation rate, average response time, revenue attributed to automated conversations. Review weekly.

Steps

  1. Define your revenue metrics. Before building, decide what you’re tracking: gross revenue, net revenue after platform fees, revenue per creator, revenue per subscriber, month-over-month growth, churn-adjusted revenue. Don’t track everything — track what you make decisions from.

  2. Map your data sources. List every platform and tool that holds revenue data. For each source, determine how you’ll extract data: API, CSV export, manual entry, or webhook. Prioritize API-connected sources; manual entry breaks the moment your team is busy.

  3. Build a data normalization layer. Different platforms report revenue differently (gross vs. net, different currency formats, different date ranges). Before any data hits your dashboard, pass it through a normalization step that converts everything to a consistent format: net revenue in USD, UTC timestamps, creator ID as the primary key.

  4. Set up your central data store. Create your master revenue table with columns: Date, Creator ID, Creator Name, Platform, Gross Revenue, Platform Fee, Net Revenue, Subscriber Count, New Subscribers, Churned Subscribers. This is the single source of truth.

  1. Define your compliance scope. Write these down as a policy document before building the scanning rules.

  2. Build your flag rule library. Create a structured list of flag rules with: Rule ID, Rule Description, Flag Severity (block vs. review), Trigger Condition, and Recommended Action. Severity matters — not everything flagged should be blocked automatically.

  4. Configure automatic blocks for high-severity flags. Any content that triggers a high-severity flag (prohibited content categories, potential legal exposure) should be automatically blocked and moved to a “Compliance Hold” status. No human can accidentally publish it while it’s under review.
